Seven stages from registration to examination

The MMed research component runs alongside clinical training and the FCP(SA) examinations. Each stage below links to detailed guidance, the required forms, and who to contact.

Registration and communication

Registrars register annually in PeopleSoft under the Master of Medicine programme until the degree is completed.

Total 180 NQF credits. Register the dissertation course (MDN7007W) during active supervision and in the year of submission.

Key rules

  • Register every year via the PeopleSoft Self-Service Portal until the degree is complete.
  • You must be registered for the dissertation course (MDN7007W — Medicine Minor Dissertation) during active supervision and in the year you submit for examination.
  • Returning students: registration typically opens early January and closes mid-February — confirm dates on the FHS Postgraduate Registration page.
  • Submitting before the start of term may not require re-registration; a mid-year submission may qualify for a fee rebate — see the Fees Handbook.
UCT email, PeopleSoft access and Faculty notices

All official communication about the MMed and the examination process is sent to your UCT address (studentnumber@myuct.ac.za). Keep the account active and monitored, or set up forwarding.

Stage 2

Choosing a topic and supervisor

A good MMed project is feasible within registrar time: a clear question, accessible data, and a supervisor with capacity. Retrospective folder reviews, audits and registry analyses are the workhorses of the MMed.

Formalising supervision — the MOU

  • Contact the academic linked to your topic and confirm availability and feasibility.
  • Agree the question, scope, timelines and expectations for feedback.
  • Complete the Memorandum of Understanding in PeopleSoft. You complete it; the supervisor approves; it routes to the HOD for final approval.
For degree-related research, the primary supervisor is listed as Principal Investigator on faculty forms. The PI and the Head of Department may not be the same person.
Stage 3

Synopsis FHS014 and protocol FHS015

The synopsis is a concise, maximum four-page summary used for early departmental review. The protocol expands it into the full study plan.

  1. Research question — stated clearly and concisely.
  2. Background and rationale — why the topic matters; the gap addressed.
  3. Aims and objectives — what the study intends to answer.
  4. Methods — design, setting, population, data source, analysis plan.
  5. Ethical considerations — risks, consent, confidentiality, vulnerable groups.
  6. Anticipated significance — contribution to care, service or knowledge.

Protocol structure — FHS015
  1. Study design and setting — justify the design for the question.
  2. Population, sampling and recruitment — eligibility, sample size, recruitment.
  3. Data collection — sources, variables, instruments, quality assurance.
  4. Data management and analysis plan — capture, storage, cleaning, statistics.
  5. Ethics, consent and governance — consent, confidentiality, permissions.
  6. Budget and timeline — realistic milestones through to submission.

Stage 4

Departmental Research Committee review

The Department of Medicine DRC (Chair: A/Prof Jonny Peter) monitors, supports and guides departmental research, and signs off proposals before ethics submission. Committee members welcome contact at any level for advice on funding, resources, regulatory process and supervision.

Statistical support meeting — required for all MMeds. Every MMed student in the Department must meet the departmental statistical support service to discuss their project at the protocol-development stage, before DRC approval — see Tools & Training for booking details.
The postgraduate approval route — five steps
  1. Prepare the proposal according to your division's guidelines — your supervisor provides these.
  2. Independent scientific review — your supervisor arranges review by two independent experts in the field (they need not be UCT staff). Your supervisor and co-supervisors may not act as reviewers.
  3. If your division runs postgraduate seminars, presenting there may satisfy this review, with sign-off from two academics not directly involved in your project.
  4. Complete the Departmental Research Proposal Checklist (DRPC) and collect signatures from the two reviewers, your supervisor, and co-investigators.
  5. DRC and HOD approval on the signed DRPC — then submit the approved proposal with it for ethics review, and send the signed proposal plus the FHS PGO forms to the FHS Postgraduate Office for faculty approval.
Submission requirements and forms
  • Every new protocol submitted for DRC/HOD signature must include the online Protocol Submission Tracking form together with the FHS013 (form · guide).
  • Postgraduate submissions additionally require the signed DRPC.

Research involving human participants, human data or research animals also requires HREC or RAEC review — see Stage 5.

Stage 5

Faculty HREC ethics approval

Every protocol involving human participants, human biological material or human-derived data must have HREC approval before the study begins. Retrospective folder reviews and database studies still require DRC review and the appropriate HREC process; scoping and systematic reviews require a waiver or exemption from the HREC Chair.

Preparing and submitting the application

Compile one combined PDF: DRC-signed FHS013 · synopsis · protocol · appendices · participant information sheet and consent forms (if applicable) · cover letter with the thesis title and document list.

The supervisor submits by email to hrec-submissions@uct.ac.za using the prescribed subject-line format:

  • Full Committee Review — PI name
  • Expedited Review — PI name
  • PI Response — HREC reference — PI name

Review timelines and outcome

Administrative screening checks completeness first. Then:

  • Expedited review — usually 2–4 weeks.
  • Full committee review — allow at least a month.

On approval you receive a letter and an HREC reference number. Email a copy of the approval letter to the DRC before research commences, quote the reference in all correspondence, and submit amendments and annual progress reports on time — approval must still be current when the thesis is submitted.

Stage 6

Hospital and site approvals

After HREC approval, obtain the required hospital, provincial or institutional permissions before recruitment, folder review, data access or collection begins.

Groote Schuur Hospital

Register the study on the National Health Research Database and select the WCDoH Portal. A valid Western Cape (WC) reference number is required — requests without one are not reviewed.

  • Other WC facilities — same NHRD/WCDoH route; written site approval before starting.
  • City of Cape Town clinicssubmit a research request to the City.
  • UCT staff or students as participants — separate institutional permission: DSA100a/b (students), HR194a/b (staff).
Stage 7

Thesis submission and examination

Two stages in PeopleSoft: lodge the Intention to Submit, then upload the thesis for examination. Path: Self Service → Research Activities → Service Requests → Create New Request → Thesis / Dissertation related requests.

Stage A — Intention to submit D8 (≥ 6 weeks before)

Form D8 must be lodged at least six weeks before the intended submission date. Upload with it:

  • D8 Intention to Submit — signed by trainee and supervisor.
  • D15 Intellectual Property assessment.
  • Updated abstract as PDF — named Abstract-open.pdf (or Abstract-Restricted.pdf if neutralised).
  • Valid HREC approval letter (renewed if expired).
  • D16 Open-access suppression — only if an embargo applies.

The Faculty Office then asks the supervisor to nominate examiners and complete supervisor forms.

Stage B — Upload the thesis D18 D19
  • Thesis.pdf — saved exactly as Thesis.pdf, with the D19 plagiarism declaration bound inside, immediately after the title page.
  • D18 Declaration / word count — uploaded as a separate PDF.
  • Final or updated abstract (same naming convention).
  • Title-change form if the final title differs from the approved title.

Type in the comment box: “I confirm that the uploaded document is the thesis/dissertation to be examined.”

Deadlines, fees and Turnitin
  • As a guide: submit by 15 March for June graduation and 15 August for December graduation — always confirm with the Faculty Office.
  • Submitting before the start of the academic year avoids fees; before mid-July may qualify for a 50% rebate.
  • Run a Turnitin similarity check on the draft via your Faculty Amathuba site and review it with your supervisor — the report itself is not uploaded with the thesis.
Supervisor guide

Supervising an MMed dissertation

Guidance for supervisors from the MOU through examination.

Eligibility
  • Hold an MMed, Master's or equivalent, or demonstrate equivalent research standing through a peer-reviewed publication record.
  • Provide discipline-specific expertise; appoint a co-supervisor where additional expertise is needed.
  • Be available for regular meetings and timely feedback.
  • Limited prior supervision experience → complete a Faculty-approved supervisor training course.
  • External primary supervisor → a UCT-based co-supervisor with a valid UCT staff number must be appointed.
  • Appointments and changes are approved by the HOD and recorded on the MOU / Change of Supervisor form.
Nominating examiners
  • Submit at least two nominations: one external to UCT, one internal and independent of the project.
  • For each: name and title, position and affiliation, contact details, and a concise summary of expertise and relevance.
  • Avoid conflicts of interest — recent co-authorship, shared funding, close collaboration or personal connections.
  • The supervisor may check availability only; the Faculty Office formally invites examiners and manages all correspondence.
  • Examiner identities are confidential from the student at all stages. Breaches can delay graduation and trigger formal Faculty review.
Supervisor FAQs

Is ethics approval needed for all MMed research? All research involving human participants, material or data requires HREC oversight — approval, waiver or exemption. Database and folder-review studies still go through DRC then HREC.

Must HREC approval be current at thesis submission? Yes — the thesis will not proceed to examination without evidence of current approval or renewal.

When is D8 due? At least six weeks before the intended submission date.

Who contacts examiners? The supervisor may establish willingness only; all subsequent contact is via the Faculty Office.

Tools & training

Ethics training, referencing and data tools

Research ethics training — mandatory

Required for all researchers and students in health research. From 1 July 2026 HREC will not process applications or progress reports without verified certification. Renew every 3 years.

  • UCT-preferred: ORI Modules 4 & 5 (~3 h each) via SuccessFactors.
  • Accepted alternatives (assessed + certified): TRREE 1–3, TCPS 2 CORE, OHRP, WHO, CITI.
  • Clinical trials additionally require valid SA GCP certification.

Referencing & similarity

  • EndNote — free for UCT staff and students via ICTS; style guidance from UCT Libraries.
  • Turnitin — check drafts via your Faculty Amathuba site before submission.

REDCap

UCT-hosted secure data capture for case report forms, surveys and study databases — appropriate for POPIA-compliant storage. Training and access.

Statistics & research methods

  • Departmental statistical support — a DRC-funded consultation service for all the Department's postgraduates, and a required protocol-stage meeting for MMeds: see the dedicated panel below, and the department page.
  • Annual Research Symposium — present your MMed work at the departmental Research Day.
  • FHS Research Methods Course — see the dedicated panel below for the 2026 module dates and registration. Other offerings appear on Amathuba, UCT’s learning platform, and via departmental comms.
  • Self-paced: Coursera Understanding Clinical Research, Clinical Epidemiology, Systematic Review & Meta-Analysis.

FHS Research Methods Course — 2026

Designed for MMed students but open to all FHS postgraduates (MPhil, MSc, PhD). Four modules, each a Friday morning 09:00–12:00 (coffee/tea from 08:30); the full 4-module course runs three times a year, and modules can be attended whenever convenient.

  • Modules 1–2 (Foundations) — for early registrars in the first 6–12 months of training, before DRC and HREC protocol submission (later attendance fine if the dissertation hasn’t started, or as a refresher).
  • Modules 3–4 (Finalisation) — for registrars who have collected their data, regardless of year of study.

Departmental statistical support — Lovemore Mapahla

A service unique to the Department, funded from DRC funds and available to all postgraduate students in the Department. All MMed students are required to meet the statistical support service to discuss their project at the protocol-development stage, before DRC approval.

Funding and publication support

Departmental registrar research funding

Internal support for dissertation costs (research assistance, data capture, statistics) should be discussed on an individual basis with your supervisor.

Conference travel

Presenting MMed work (oral or poster) → apply for the URC Conference Travel Grant via the eRA portal. Attendance without presenting is not funded.

Open access — OAJPF

Up to R20 000 toward APCs for accepted articles in DHET-accredited open-access journals. Apply only after acceptance; where the student is corresponding author, the supervisor applies. Claims within 6 months of invoice. Details.

Page cost grants

Contribution toward page charges in DHET-accredited journals, via eRA. Verify accreditation with the DHET Journal Finder; negotiate developing-country discounts first.
